Acceptable Use Policy

The rules for using ANNEX ORBIS. This policy is part of our Terms of Service and applies to every Customer and User.

1. Prohibited conduct

You may not use the Services, or help anyone else use them, to:

  • break any law or regulation, or violate anyone's intellectual property, privacy, publicity or contract rights;
  • send or store content that is fraudulent, deceptive, harassing, threatening, defamatory, obscene, or that promotes violence or discrimination;
  • store or send child sexual abuse material;
  • impersonate any person or organization, or misrepresent who a message is from;
  • send malware, phishing, or other harmful code or links;
  • access, search or test the Services, other accounts or our systems without authorization, or bypass authentication, rate limits or security controls;
  • scrape the Services or the motor carrier directory in bulk, or resell directory data;
  • reverse engineer or copy the Services, except where the law expressly permits it despite this restriction;
  • resell, sublicense or provide the Services to others as a service bureau without our written agreement, or use them to build a competing product;
  • overload or disrupt the Services, or use them in a way that harms our carriers, providers or other Customers;
  • use the Services where their failure could lead to death, serious injury or environmental damage, such as controlling vehicles, aircraft or medical devices.

2. Email, text messages and calls

  • Do not send spam. Send commercial email only in compliance with CAN-SPAM and other anti-spam laws, with a working unsubscribe.
  • Before sending a text message or making an automated or prerecorded call, obtain the consent the Telephone Consumer Protection Act and state law require: prior express written consent for marketing.
  • Do not disable or work around STOP, HELP and quiet-hours handling, and honor every opt-out.
  • Follow carrier and CTIA messaging rules, including 10DLC and toll-free registration and the carriers' restrictions on sex, hate, alcohol, firearms, tobacco and cannabis content.
  • Do not use purchased, rented or scraped contact lists.
  • Do not send one-time codes or other messages meant to deceive the recipient about their purpose.

3. Recording, monitoring and location

  • Record or transcribe calls and meetings only with the notice and consent the law requires, including in two-party-consent states. Meeting recordings in the Services require every participant's consent; do not attempt to circumvent this.
  • Track the location, presence or activity of employees and drivers only for legitimate business purposes, with the notices and consents the law requires, and never outside the working context the law allows.
  • Do not use location, recordings or monitoring data to stalk, harass or unlawfully surveil anyone.

4. Employment, screening and sensitive data

  • Use background screening only with a permissible purpose, a proper disclosure and written authorization, and follow the Fair Credit Reporting Act's adverse action process.
  • Do not use the Services, AI output or the motor carrier directory to make unlawful discriminatory decisions about employment, credit, housing or insurance.
  • Do not store full payment card numbers, or protected health information governed by HIPAA, except in features we have expressly designated for that data.
  • Collect and keep Social Security numbers, identity documents and medical information only where the law requires or allows it, and only in the fields meant for them.

5. AI features

  • Do not use HAL to create content that is illegal, deceptive, or that violates this policy, or to impersonate a real person without their permission.
  • Do not try to extract other organizations' data, system instructions or credentials through the assistant.
  • Have a person review AI output before relying on it for legal, HR, financial, medical or safety decisions.

6. Enforcement and reporting

We may investigate suspected violations, remove content, restrict features, and suspend or terminate accounts, with or without notice where needed to protect the Services, our carriers or other people. We may report illegal activity to the authorities.

To report abuse, spam or a violation, email abuse@annexorbis.com. To report a security vulnerability, email security@annexorbis.com; we welcome good-faith research that avoids harm to people and data.

We may update this policy. Material changes will be announced as described in our Terms of Service.
